How does one person keep their own records answerable?
A one-person business has no colleague to ask. The files have to answer instead. Here is the checklist I use before relying on any sentence in my own records, and what changed when the files started answering back.
One person keeps their own records answerable by treating them as evidence rather than memory: every answer names the document and the section it came from, a later document is checked for anything that changes it, and anything still uncertain is written down with the name of whoever can settle it. Eight documents are enough to run my desk if each one can be read and cited in a click. The rule that holds it together is that where a signed letter and the standard rate card disagree, the letter governs that engagement and nothing else.

What does a one-person desk actually hold?
Eight documents, all mine. The Halvard engagement letter and the kickoff notes. My rates and standard terms. The working notes for last year's tax return. The handbook excerpt for the certification I am studying for, two sets of study and reading notes, and the credentials ledger. Five subjects: client engagements, rates and terms, finance and tax, certification study, credentials.
That is not many. The problem of a one-person desk is not volume. It is that there is nobody else to ask, so the files have to be good enough to answer on their own.
What is the checklist?
Five steps, used before I rely on any sentence in my own records.
- Name the question and the document that should hold the answer. Payment terms live in the letter, not the rate card. The pass mark lives in the handbook, not my study notes.
- Read the relevant section in full, not the summary. The sentence that matters is usually the one a summary drops.
- Check whether a later document changes it. A signed letter overrides the rate card. A renewal overrides the ledger line. An accepted return overrides the working notes.
- Write the answer with the section cited, so it can be checked in one click.
- Note anything still uncertain and who can settle it: the client, the accountant or the Institute.
Which document wins when two disagree?
The more specific and later one, and the files say so themselves. My rate card states that a signed engagement letter may set different terms for that engagement, and where it does, the letter governs. The Halvard letter states that its terms replace the standard net 30 for that engagement only. Both documents point at the same rule from opposite sides, which is how it should be.
What is a meeting note evidence of?
Of what was said. Not of what was later done. The kickoff notes record that the director confirmed the deposit was raised with finance. They do not prove it arrived; the bank statement does that. An invoice is issued only when the milestone in the letter is met, not when a note says the milestone is near.
What are study notes evidence of?
My own reading of the handbook. They never replace the Institute's published rules on eligibility, pass marks or renewal. If my notes and the handbook disagree, the handbook is right and the notes get corrected.
What changed when the files started answering back?
For a long time the checklist lived in my head and the files lived in folders, and the weak point was step three: remembering that a later document existed. I now keep the eight documents on Vera, and when I ask a question the answer comes back with the document and section it was read from, so step four happens by default and step three is the part I check rather than the part I have to remember. When a source does not hold the answer, it says what is missing instead of filling the gap. That last behaviour is the one I would not give up: an answer that invents a payment term is worse than no answer.
The checklist did not change. What changed is that the citing is done for me and the reading is still mine.
What stays uncertain, and who settles it?
Right now, three things, each with a name beside it. Whether Halvard wants a separate scope for software selection: the client. How the certification course fee is treated and how a deferred January payment should be shown: the accountant. Anything about eligibility, pass marks or renewal that my notes do not match: the Institute.
Writing the open questions down with an owner is not an admission. It is the fifth step of the checklist, and it is what stops an uncertain answer being quietly treated as a certain one.
What is the rule for client material?
It stays confidential to the client. Anonymised patterns may appear in my study notes only when no client, site or person can be identified. The Halvard letter says the same in its own section, and the two rules are checked against each other before anything from a depot goes near a notebook.
